Good Morning,

This email is for all known NOAA federal attendees of the upcoming 2019
Joint Satellite Conference
<https://www.ametsoc.org/index.cfm/ams/meetings-events/ams-meetings/2019-joint-satellite-conference/>
in Boston.

Here is an updated roster
<https://docs.google.com/spreadsheets/d/1RERzyqthug7vhS6nJ_avGxWANH5nDGPx/edit#gid=892707443>
of all known/expected (federal) attendees, alphabetical by office,
including session chairs &/or oral reports, posters, and weekend
meeting/training attendance. Please reply to me (and Not To All) with any
requested edits - including if you are no longer planning to attend for any
reason or know of any colleagues who you think should be listed and are not.

See below emails from 5/31, 7/11, and 7/24 as a reminder.

IMPORTANT: The Group Travel Request and Conference Package HAVE BEEN
APPROVED by DOC (as of 8/16) - AND AMS is allowing Early Registration rates
for .gov email addresses until 8/31.

Please work with your travel coordinator to create a travel authorization and
then register ASAP <https://www.ametsoc.org/meet/atreg/Home/Index>.  You
may need to create a new account. Individual travel cards should be used to
pay registration fees (and short course &/or banquet ticket charges as
applicable), after creation of travel orders. You may then immediately
submit a travel voucher for just the registration fee (e.g., if billed
before the conference itself) and then file a reclaim for travel expenses
after the conference. Please register for the appropriate rate ($555 or
$605 for full week if completed by 8/31; or $40 more if later) depending on
your role during the 2019 JSC: see Registration Section
<https://www.ametsoc.org/index.cfm/ams/meetings-events/ams-meetings/2019-joint-satellite-conference/>.
NOAA is a co-sponsor, so all federal employees who are not AMS members or
serving as a program or session chair fall under the second category, even
if not presenting. Personal credit cards may be used for anyone who does
not have a government travel card. Office purchase cards may not be used
to pay JSC-2019 registration fees.

Note:

- Actual lodging and/or non-contract carrier (flights) should not be
needed. Otherwise you'll need to submit your travel package and a request
for actuals memo to nesdis.travel at noaa.gov for additional clearance before
registering (for NESDIS employees), and will not be able to route TAs in E2
without the approved memo attached.

- Registration for the Weekend Training (for those involved in those
activities) is separate, here
<https://www.ametsoc.org/index.cfm/ams/meetings-events/ams-meetings/2019-joint-satellite-conference/ams-short-course-significant-hazards-satellite-applications/>
& here
<https://www.ametsoc.org/index.cfm/ams/meetings-events/ams-meetings/2019-joint-satellite-conference/ancillary-satellite-applications-training-sessions/>
.

AMS has arranged for two Overflow Hotels, both of which have also sold out;
see updates here: Location and Accommodations
<https://www.ametsoc.org/index.cfm/ams/meetings-events/ams-meetings/2019-joint-satellite-conference/location-and-accomodations/>

Note:

1. Rental cars should not be necessary; see below for some helpful info.

2. The conference concludes midday on Friday (10/4), which should allow for
return travel that afternoon/evening for most attendees (and thus a 10/4
hotel checkout).

3. There appear to be several other good hotel options in E2 within a short
distance, if needed.

4. See attached DOC Tax-Exempt Certificate, and present a hard-copy of same
when you check in - along with your travel orders and a gov’t ID card.

FYI:

Public Transportation

MBTA Silver Line
<https://www.mbta.com/schedules/741/line?direction_id=1#direction-filter>

Take the SL1 Silver Line bus from any terminal at Logan Airport. Exit bus
at the World Trade Center stop. Walk 5 minutes (.02 miles) to the Westin
Hotel, 425 Summer St.

http://www.massport.com/logan-airport/to-from-logan/transportation-options/taking-the-t/

See you in Boston!

P.S. - With any luck this will be the last “mass email” from me until after
the conference, when we will need to collect actual costs incurred by
everyone. (Thanks in advance for your timely reply then.)

Sincerely,

Scott Rogerson

Subject: Update on 2019 Joint Satellite Conference - July 24, 2019

*Greetings,*

This email is for all known NOAA federal attendees of the upcoming 2019
Joint Satellite Conference in Boston from NMFS, NWS, OAR and NOAA HQ.

Here is a shared form
<https://docs.google.com/spreadsheets/d/1RERzyqthug7vhS6nJ_avGxWANH5nDGPx/edit#gid=892707443>
with
a roster of all known/expected (federal) attendees, alphabetical by office,
including session chairs &/or oral reports, posters, and weekend
meeting/training attendance.
Please reply to me with any requested edits - including if you are no
longer planning to attend for any reason or know of any colleagues who you
think should be listed that are not.

(Dan/George, your assistance coordinating with Dr. Uccellini would be
appreciated.)
(Alek, your assistance coordinating with everyone else from NOAA HQ would
be appreciated.)

Please see below emails from 5/31 and 7/11 as a reminder.

Thank you to everyone who provided input via this quick Google Form
<https://docs.google.com/forms/d/e/1FAIpQLScBzmLUeHHb2XCeYJrFSdDM93Fp9uUJOdcPzlM148ggkezjhQ/viewform>
.
(If you have not already done so, please take 3 minutes now.)

Hotel Update:
AMS has arranged for an Overflow Hotel: See "New Hotel Added" here: Location
and Accommodations
<https://www.ametsoc.org/index.cfm/ams/meetings-events/ams-meetings/2019-joint-satellite-conference/location-and-accomodations/>
Note:
1. The conference concludes midday on Friday (10/4), which should allow for
return travel that afternoon/evening for most attendees (and thus a 10/4
hotel checkout).
2. If the overflow hotel sells out also, there are several other good
options in E2 within a short distance, namely Yotel Boston, Cambria Hotel,
and AC Hotel Boston Downtown.
3. See attached DOC Tax-Exempt Certificate, and present a hard-copy of same
when you check in.

The Group Travel Request and Conference Package are still being reviewed by
DOC, so the guidance below about not registering for the main conference
yet still applies.

Please plan to work with your travel coordinator(s) as soon as we share the
word that you can register and complete your travel arrangements -
especially since this important event crosses from FY19 to FY20.

*Thank you very much!*

Sincerely,
Scott Rogerson

Subject: Hotel Reservations for 2019 Joint Satellite Conference

Hello,

You are receiving this email because you are included in the Group Travel
Request and Conference Package for the 2019 Joint Satellite Conference in
Boston later this year.

If you submitted an Abstract you should have received a notification lately
from AMS, for oral &/or poster selections.

Conference Registration will open soon but in the meantime we recommend
making your Hotel Reservation:

https://www.ametsoc.org/index.cfm/ams/meetings-events/ams-meetings/2019-joint-satellite-conference/location-and-accomodations/

While the special rate of $273 plus tax will not expire until 30 August,
the number of blocked rooms is limited and they are expected to go quickly;
therefore I urge you to book your room as soon as possible if you wish to
stay at the Westin Waterfront. No deposit is required and there is a 3-day
cancellation policy.

Please let me know if you have any questions - and I'll do my best to
answer them.

We look forward to seeing you in Boston!

Sincerely,
Scott Rogerson
